This role will be accountable for monitoring, responding to and distributing information to the appropriate internal and external parties, and such information may contain confidential legal and/or billing matters. This role will also be responsible for maintaining and revising employment agreements, collecting and occasionally reviewing relevant documents from internal teams (such as payroll, leave of absence, human resources) to assist in responding to charge of discrimination or attorney letters, working within a legal matter management and record hold system and working with the finance team and outside counsel to process any legal settlements. This role will also manage calendars and ad-hoc office needs, book attorney travel and/or organize legal department events such as pro bono outings or development days.ResponsibilitiesManage the daily schedule for both Deputy General Counsel and supporting in-house attorneys.Arrange business travel and manage expense reimbursements.Document receipt of subpoenas, lawsuits and administrative charges and properly open and classify matters in the legal matter management system.Edit, format and draft various documents as requested by attorneys on the teamTrack lifecycle of legal agreements and process settlement paymentsTrack critical dates, anticipate future needs, and coordinate next steps related to a variety of legal mattersReview confidential legal materials and prepare, as requested, summaries, charts, and presentations for reportingAssist with law firm invoicing and provide assistance with law firm billing software as neededPrepare and provide agendas and supporting materials for upcoming meetings, including assistance with room set-upCorrespond with contacts at various law firmsAssist with reporting and tracking for Learning & Development online course completion by BBW associatesSupport additional administrative and office duties such as greeting visitors, maintaining office supplies, copying, mail services, handling messages, etc.Provide supplemental and/or back-up support to other departmental Assistants as neededWork within and train others on function-specific software, such as the legal record hold database, matter management database, etc.Perform ad-hoc special projects as neededQualifications5-10 years experience in an administrative support role in a law firm or supporting in-house counselCommunicate in an effective and professional manner both verbal and written with the ability to create correspondence on behalf of attorneysExcellent attention to detail, discretion with highly confidential information, and ability to anticipate future needs of the team and propose changes to processesEffectively prioritize and categorize matters requiring immediate attentionStrong organizational skills on behalf of self and othersExecute tasks in a thorough and accurate manner in a fast-paced environmentAbility to work in a high-volume environment while exercising good judgement to make decisions independently and escalate matters as neededDemonstrate flexibility and be a champion of changeWork collaboratively with Executive Assistants across the organizationTeam player with the ability to develop and maintain positive working relationships with othersConduct all work in an ethical, professional and confidential mannerAbility and willingness to take on additional responsibilitiesExcellent computer skills with expertise in Microsoft Office applications including Word, Excel, PowerPoint and OutlookProject management skills and experienceExperience in electronic file-keepingExperience with Executive calendar managementEducationNotary Public certification preferredParalegal degree and/or a degree in business or legal studies is a plusCore CompetenciesLead with Curiosity & HumilityBuild High Performing Teams for Today & TomorrowInfluence & Inspire with Vision & PurposeObserve, Engage & ConnectStrive to Achieve Operational ExcellenceDeliver Business ResultsBenefitsWe invite you to join Gingham Nation, where we invest in our associates through competitive compensation, benefits, and development opportunities, so they can continue to be their best at work, at home, and in their communities.
