The Payroll Manager is responsible for overseeing all aspects of payroll processing and administration in a company that owns and operates two distinct and multi-location restaurant concepts operating in multiple states. This role involves ensuring accurate and timely payment of wages to employees, compliance with payroll laws and regulations, continued process improvement, and effective communication with internal stakeholders.


What you will do:


Payroll Processing: Manage the end-to-end payroll process for restaurant employees and the corporate office, including calculating wages, bonuses, overtime, tips and tip credit, grant releases, processing timesheets, and verifying accuracy of payroll data. Ensure timely and accurate submission of payroll information to meet established deadlines.


Payroll Administration: Oversee payroll-related tasks such as new hire setup, employee changes (e.g., salary adjustments, promotions, terminations), and deductions (e.g., taxes, benefits, garnishments). Maintain accurate payroll records and employee data in compliance with company policies and regulations.


Compliance: Stay up to date with federal, state, and local payroll laws, regulations, and tax requirements relevant to the restaurant industry. Ensure payroll practices comply with Fair Labor Standards Act (FLSA), IRS guidelines, and other applicable regulations. Work with Operations teams to ensure compliance with relevant labor laws affecting the restaurant industry and/or non-exempt employees.


Tax Reporting and Compliance: Prepare and submit payroll tax filings, including federal and state income tax withholdings, FICA taxes, unemployment insurance taxes, state disability insurance taxes, and other payroll-related taxes. Reconcile payroll tax liabilities and ensure accurate reporting to regulatory agencies. Adhere to regulatory and internal record-keeping guidelines.


Benefits Administration Support: Collaborate with the benefit manager or HR department to ensure seamless integration between payroll and employee benefits administration. Coordinate payroll deductions for employee benefits such as health insurance, retirement plans, and other voluntary deductions.


Payroll Systems Management: Oversee the implementation and maintenance of payroll software systems or platforms used for payroll processing and reporting. Ensure systems are configured correctly to support restaurant-specific payroll requirements and functionalities. Make recommendations for process improvement.


Payroll Audits and Reconciliation: Conduct regular audits of payroll data, including earnings, taxes, and deductions, to identify discrepancies and ensure accuracy. Reconcile payroll records with general ledger accounts and resolve any discrepancies in a timely manner. Support the Accounting team in providing required payroll records for internal audit compliance.


Employee Communication: Serve as a primary point of contact for payroll-related inquiries from restaurant managers and employees. Provide timely and accurate responses to payroll questions and concerns, addressing issues promptly and professionally.


Reporting and Analysis: Generate payroll reports and analytics to provide insights into payroll costs, trends, and variances. Analyze payroll data to identify opportunities for process improvements, cost savings, and efficiency enhancements.


Team Leadership and Training: Supervise payroll staff members, if applicable, and provide guidance, training, support, and development as needed. Foster a collaborative and customer-focused work environment within the payroll team.


Competencies:

  • Bachelor s degree in accounting, Finance, Business Administration, or related field.
  • Certified Payroll Professional (CPP) designation preferred.
  • 3-5 years of experience in payroll administration, preferably in the restaurant or hospitality industry.
  • In-depth knowledge of payroll laws, regulations, and tax requirements, including FLSA, IRS regulations, and state/local tax laws.
  • Proficiency with ADP payroll software systems and Microsoft Excel.
  • Strong analytical skills with the ability to analyze complex payroll data and reconcile discrepancies.
  • Excellent attention to detail and accuracy in payroll processing and reporting.
  • Effective communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.
  • Ability to prioritize tasks, meet deadlines, and work effectively in a fast-paced environment.
